Smart Checklist

Keep track of multi-step processes with Smart Checklists, customized to suit your own business logic.


Smart Checklists help you manage your custom, multi-step processes by providing a clear and organized way to track your progress. When paired with our Automation Engine, they allow one step of these complex processes to kick off the next, so accounts never sit waiting for an agent to notice something needs to be done. This article will explain how to create and use checklists effectively to streamline your account management processes.

Creating a Smart Checklist

To manage checklists in LoanPro, navigate to Settings > Loan > Smart Checklists. Here, you will be able to create, view, or edit a checklist. To create a new checklist:

  1. Click the ‘Add’ button in the top right corner. Enter a title, description, and status for your checklist.
  2. Once those fields are complete, begin building the checklist steps by clicking ‘Add Smart Checklists Item’. For each item, set a name, description, and active status. Your checklist items can be as descriptive as you’d like, as long as they stay within 250 characters.
  3. Click ‘Save’ when you are satisfied with your checklist items.
  4. After you have saved your checklist, it will now be listed on the checklists page.

Normally, items can be checked off in any order. If you want them to be completed in a specific order, however, you can use Agent Walkthroughs. They are designed more as a reminder of which actions have and have not been completed. 
 

Using a checklist

Now that your checklist is set up, here’s how to use it effectively. 

To access a checklist, navigate to a specific loan and select Servicing > Smart Checklists. This page displays all active checklists associated with the loan, allowing you to mark items as complete.

To mark an item as complete, simply click the checkbox next to it. The date and time of completion will automatically be recorded in LoanPro, and you can view the full checklist history at the bottom of the page. 

To make your checklists more accessible, you can add them to both the loan summary page and the Smart Panel. 

  • On the loan summary page, you can add a checklist tile, allowing agents to view and execute checklists directly from the summary screen. To set this up, navigate to Settings > Company > Access > (New) Loan Views > Views/Templates
  • The Smart Panel is another useful option. By including a checklist widget here, you can keep your checklist visible and accessible across pages. This means that agents can review and execute checklist tasks without needing to leave their current view. To configure this, navigate to Settings > Company > Access > (New) Loan Views > Smart Panel.

You can assign statuses to checklist items to indicate their current stage in the process, such as ‘Received’, ‘In review’, ‘Approved’, and ‘Rejected’. These statuses can be customized in Settings > Loan > Labeling > Smart Checklist Statuses.

You can also use Smart Checklists to search for loans based on their status, making it easy to see where each loan stands in the process. To do this, navigate to Account Manager and open advanced filters by clicking the three lines to the right of the search bar. From the ‘checklist items’ dropdown, you can choose the specific statuses you want to filter by. After selecting your criteria, click ‘Apply Brackets’ to view the filtered results.
